The twodegree-granting programs engage faculty, staff, and studentsthroughout the Johns Hopkins University School of Medicine(JHUSOM), and the Administrative Coordinator interacts with andsupports all stakeholders.The Administrative Coordinator reports to theAdministrative Director, MD/PHD & XDBio and works closely withfaculty, staff, and students throughoutJHUMSOM.Specific Duties &ResponsibilitiesAdministrative -Receive and welcome all visitors to theMDPHD/XDBio office – including faculty, staff, andstudentsTriage incomingcommunications (calls, emails, letters) to include responding toquestions and/or referring/transferring to appropriate staff orofficesMaintain office andkitchen inventory, to include tracking and purchasinginventoryMaintain officeequipment, to include arranging for repair and maintenance ofequipmentProcess accountingtransactions, to include online check requests, reimbursement forstudents and faculty, managing petty cash,etc.Develop andmaintain MDPHD and XDBio contact lists and listservs (to includestudents, faculty, and departmentcontacts)Assist eachprogram’s admissions director/staff with processing applications(develop agendas, set up meetings, prepare and distributeapplication packets, record decisions, keep minutes,etc.)Develop andmaintain student databases, including prospective studentdatabasesAssist in thepreparation of NIH MSTP Training Grant, including but not limitedto gathering data, generating narratives and tables, editingcontent, and formatting documentsAssist indeveloping annual reports for NIH and other stakeholder, includingbut not limited to gathering data, generating narratives andtables, editing content, and formattingdocumentsSupport all programevents (such as program retreats, interview events, Herlong Rounds,journal clubs, welcome reception for new students, program facultymeetings, admitted student activities, Second Look, etc.) toinclude issuing invitations, managing RSVPs, creating attendancelists, securing space, coordinating transportation, scheduling AV,ordering food, distributing materials, managing videoconferencing,etc.Assist withdeveloping marketing materials (flyers, social media posts,etc.)Distributemarketing materials asappropriateBudgetary –Create and maintain budget tracking and filingsystems for General Funds, F30 fellowships and philanthropicaccounts, to include monthly budget to actual analysis and accurateallocation of costs among accounts. Research discrepancies and,with the Administrative Director, developsolutions.Run and disseminatemonthly and quarterly budget reports for AdministrativeDirectorPrepare periodicreports identifying trends in revenue andexpensesProcess payroll forall students of MSTP and XDBio programs, to include initial supportand changes during the yearTrack expiringpayroll funding sources and secure updated sources fromdepartmental contacts to ensure no break inpayProcess expensereimbursements for students, Office staff, and programfaculty/staffRun and reviewpayroll reports; identify and research discrepancies; withAdministrative Director, correct discrepancies; identify processimprovements to avoid futurediscrepanciesMinimum Qualifications(Required)High School Diploma/GED.Three (3) years relatedexperience.Additional education may substitute for requiredexperience, to the extent permitted bytheJHU EquivalencyFormula: 30undergraduate degree credits (semester hours) or 18 graduate degreecredits may substitute for one year of experience.
